As of 2025, screening requirements have expanded: nearly all licensed healthcare practitioners must now be in this system to maintain their professional licenses, in addition to standard facility employees.

It means the check is being sent to the Clearinghouse for long-term monitoring. Crucially, the "Pre-Registration" process depends on the applicant's role:

• Professional Licenses: If you are a licensed practitioner (RN, MD, LMT, etc.), you can pre-register yourself via the CHAI system to initiate your own screening.

• General Employment: For all other healthcare or facility roles, your employer must initiate the screening for you through their portal.

• Our Role: As specialists, we ensure that regardless of who initiated the check, the photo capture and biometric verification meet the strict Clearinghouse standards so your results aren't rejected.

The Clearinghouse is a statewide database used by AHCA, DCF, DOH, and APD to share background results, preventing workers from needing to be re-fingerprinted for every new job within the same industry.

Retention means the Clearinghouse monitors the applicant’s fingerprints. This allows participating employers to view updated eligibility without requiring a new fingerprint submission for five years.

Most fingerprints stay in retention for five years, but an employer’s ability to view results depends on the applicant maintaining active employment with a Clearinghouse-regulated provider.

It depends on the path. Licensed healthcare practitioners should pre-register via CHAI to generate their own screening request. For most other applicants, the employer must "Initiate a Screening" in their portal first. If neither has been done, the Livescan vendor cannot "find" you in the system to upload your prints.

Roles in assisted living, home health, nursing homes, medical offices, and any position involving direct patient contact generally require AHCA Level 2 screening.

Yes. If your fingerprints are in "Retention" and your Clearinghouse profile is properly linked, new healthcare employers can review your eligibility without requiring new prints.

Yes. All AHCA-routed background checks in our office include biometric identity authentication to ensure the person being printed is the true applicant before their data enters the Clearinghouse

No. Florida law requires Level 2 background checks to be submitted through a certified Florida LiveScan vendor using the state’s specific encryption protocols. Even if you have a recent federal background check, it cannot be "transferred" into the Florida Clearinghouse or FDLE system. You must be fingerprinted by a Florida-approved specialist to meet the state's unique requirements.

No. Our Identity-Verified LiveScan™ uses "one-to-one" matching. We are not searching a government database; we are simply confirming that the physical ID you are holding is authentic and that your face matches the photo on that specific ID. This protects you from "deepfake" or stolen identity fraud, ensuring that no one else can use your name or professional credentials to pass a background check.

Even if your fingerprints are in "Retention," Florida law requires a new background check if you have a "break in service" from a regulated employer for more than 90 days. If you have been unemployed or working in a different industry for over three months, your Clearinghouse status may lapse, and a new Level 2 screening (including a new photo) will be required to re-establish eligibility.
