Remote Online Notarization, or RON, is a completely digital way to sign and notarize documents from anywhere in the world. Using a computer or mobile device with a camera and microphone, you meet with a certified Florida online notary in a secure video session. It’s fast, legal, and convenient—no printing or travel required.
Yes. A document notarized online by a commissioned Florida online notary holds the same legal validity as one notarized in person. Online notarizations performed in compliance with Florida law are recognized in all 50 states, thanks to the Full Faith and Credit Clause of the U.S. Constitution. As long as the notarization follows the rules of the notary’s state — in this case, Florida — other states must accept it as legally valid.
No — you can be located anywhere in the world and still use our Florida-based remote online notary (RON) service. As long as you have a valid ID and access to a device with a camera and microphone, our certified Florida online notaries can legally notarize your documents, no matter where you're physically located. Many of our clients are outside of Florida — and even outside the U.S.
No — U.S. citizenship is not required. Our remote online notarization service is available to both U.S. citizens and foreign nationals worldwide. At Florida Document Specialists, we use advanced biometric ID verification, so there’s no need for a Social Security number or credit history.

-
Passport (U.S. or any country)
-
Driver’s License or ID from any U.S. state, territory, Canada, or Mexico
-
Florida ID
-
USCIS ID card
-
U.S. Uniformed Services ID
If you don’t have one of these, you may still qualify using two credible witnesses. Contact us to learn more.

Florida Driver’s License or ID Card

Our online notaries are available Monday through Friday, 9:00 AM to 5:00 PM Eastern Time.
Need a document notarized outside of those hours? We offer a Priority-RUSH service for after-hours, weekend, and most holiday appointments. It’s a fast and flexible option for urgent notarization needs.
Yes — we specialize in international online notarizations and are one of the few providers equipped to serve non-U.S. citizens around the world.
Our platform uses advanced biometric ID verification, so there’s no need for a Social Security number or credit history. If you’re located outside the United States, a valid passport is required to use our service.
We make the process fast, secure, and accessible — no matter where you are.
Florida Document Specialists offers remote online notarization with real-time interpreter support in many major languages. While we’ve always provided services in English and Spanish, we now support live interpretation for languages such as French, German, Portuguese, Mandarin, Arabic, Italian, and more.
During the session, we securely connect the notary, signer, and interpreter in a live audio/video environment to ensure clear communication and full compliance with notarial laws. This allows us to deliver fast, accurate, and legally valid foreign language notarizations — no matter where you're located or what language you speak.
Yes! We have Spanish-speaking online notaries on our team, ready to assist you. Whether your document is in English or Spanish, we’re here to ensure a smooth and professional notarization experience for the Spanish-speaking community.
Yes — all of our notaries are fully commissioned by the State of Florida and have completed the required training to perform remote online notarizations in full compliance with Florida law.
This means your notarization is handled by professionals who understand Florida’s strict legal standards, ensuring every document is valid, secure, and legally recognized across all 50 states.
Yes — Florida Document Specialists can provide up to two remote witnesses for your online notarization session. Our witnesses join the live video appointment alongside the notary and signer, ensuring all legal witnessing requirements are properly met.
This service is especially helpful for documents that require additional formalities, such as wills, codicils, powers of attorney, and other estate planning forms.
Yes, you may provide your own witnesses — but they must meet the same requirements as the signer, with one key difference:
-
Each witness must pass identity verification
-
Have a unique email address
-
Use a device with a camera and microphone
-
Must be physically located within the United States at the time of the notarization
There is a $30 fee per witness for online participation.
While the signer may be located anywhere in the world, witnesses must be within the U.S. due to legal and technical restrictions. For a smoother process, we recommend using our professional remote witnesses, unless your situation requires specific individuals.
You’ll receive your notarized documents by email within two minutes of completing your session with our online notary. It’s fast, secure, and hassle-free.
Need the documents sent somewhere else? We’re happy to email them directly to a third party on your behalf — just let us know during your session.
Yes — we regularly perform remote online notarizations for real estate closings and mortgage documents on behalf of both buyers and sellers. Our platform is MISMO certified, meeting industry standards for security and compliance.
That said, not all lenders, title companies, or underwriters are fully familiar with Florida’s RON laws, which can sometimes cause delays or confusion. To avoid issues, we strongly recommend confirming with your title company before proceeding.
We’re more than just a notary service — we’re industry leaders in remote online notarization, with a proven record of reliability, innovation, and customer satisfaction. Here’s why clients trust us:
-
Experts in complex documents – We handle everything from simple affidavits to wills, real estate closings, and estate planning with precision.
-
User-friendly platform – Our system is intuitive, secure, and built for global accessibility.
-
Recognized leadership – Our coordinator, John Bayne, was named 2021 Notary of the Year by the National Notary Association.
-
Florida pioneers – We were the first RON provider in Florida, and all our notaries are credentialed by the Florida Department of State.
-
A+ rated & BBB accredited – We’re proud of our 5-star reviews and trusted reputation.
-
Cutting-edge tech – From biometric ID checks to credential analysis, we lead in security and compliance.
-
Responsive support – You can reach your notary directly by phone, text, or email — no ticket systems, no outsourcing.
We combine human connection with advanced technology to deliver the most reliable online notarization experience available.
Most online notarization sessions are quick — typically under five minutes.
However, more detailed documents like wills, trusts, or durable powers of attorney may take longer. We recommend setting aside a little extra time for complex or multiple-signature documents to ensure everything is handled thoroughly.
Don’t worry — your Florida online notary will guide you through each step to make the process smooth and stress-free.
Remote Online Notarization is not just convenient — it’s also highly secure when performed on a certified platform like ours. We use multiple layers of protection to ensure the safety, integrity, and legality of every notarization:
-
Biometric ID verification – We authenticate signers using advanced technology, not outdated credit-based systems, to reduce fraud.
-
Secure video recording – Every RON session is recorded and archived, creating a verifiable record if questions arise later.
-
Tamper-evident technology – If a signed document is altered, the system flags it instantly.
-
Digital certificates – Our notaries apply cryptographic seals to every notarization, confirming both identity and authenticity.
-
Encrypted data transmission – All sensitive information is protected by strong encryption protocols during storage and transfer.
-
Full compliance with Florida law – We strictly follow all Florida RON regulations to ensure your notarization is legally valid and protected.
In short, our RON platform is designed to give you confidence and peace of mind — every step of the way.
A notarial act is an official duty a notary performs — most commonly an acknowledgment or an oath (jurat). These acts require specific wording, usually found in a section of the document called the notary block.
If your document doesn’t include that language, our Florida online notary will ask which type of notarial act you need. While we can’t choose it for you, we’ll gladly explain your options to help you make the right call. We also ensure that your notary block is formatted correctly under Florida law — especially important for documents requiring a Florida apostille, where incorrect notarization is one of the most common causes for rejection.
Florida also has a new notarial act called Supervising the Witnessing of an Electronic Record. This applies when witnesses are not in the same location as the signer — common with wills, trusts, and powers of attorney. Most online notaries are not trained in this and can easily mishandle these sessions, leading to invalid documents.
At Florida Document Specialists, we’re fully trained and experienced in this specialized notarial act, ensuring your documents are properly executed and legally compliant.
Yes — every remote online notarization (RON) session is fully documented. We create and securely store an audio-video recording of the entire session, which is retained for ten years as required by Florida law.
In addition, our notaries maintain a detailed electronic notary journal that logs each notarization. This ensures full transparency, legal compliance, and peace of mind should you ever need to reference the transaction in the future.
No — we do not request or require your Social Security number for any part of the online notarization process.
At Florida Document Specialists, we use advanced biometric ID verification that doesn’t rely on outdated credit-based checks. Whether you're a U.S. citizen or a foreign national, you can complete your notarization using a valid passport or photo ID — no Social Security number or U.S. credit history needed.
Our secure, international-ready platform makes the process smooth, private, and accessible from anywhere in the world.
Most documents that can be notarized in person are also eligible for remote online notarization, including affidavits, real estate documents, and business forms.
However, some documents — such as wills, trusts, durable powers of attorney, and advance healthcare directives — require stricter procedures to be legally valid when notarized online. These types of documents often involve witnesses and may trigger Florida’s specialized notarial act for supervising the witnessing of electronic records.
Our notaries are fully trained in these advanced procedures to ensure your documents are properly executed and compliant with Florida law.
Maybe — but it’s important to check with your title company first. Some underwriters require the use of specific or “approved” online notary platforms.
You can let them know that Florida Document Specialists uses industry-trusted platforms such as DocVerify, Secured Signing, and Pactima — all of which are widely recognized in the real estate and mortgage industry.
If your title company seems unsure or hesitant, we recommend reading our blog on online notarization and title companies. In some cases, it may be worth exploring a more flexible or tech-forward title company that supports remote online closings and understands Florida’s RON laws.
Yes — you can legally have your last will and testament notarized online through Florida Document Specialists. We offer full support for electronic will execution, including remote witnesses and acting as your Qualified Custodian of Electronic Wills, which is required under Florida law for your will to be legally valid.
Our team follows all mandated procedures to ensure your electronic will meets Florida’s legal standards and can be safely stored and accessed when needed.
If you don’t yet have a will, we also provide nonlawyer typing services for simple wills and estate planning documents. For added value, you can bundle your electronic will with related documents such as a durable power of attorney, Lady Bird Deed, and advance healthcare directive.
Yes — Florida Document Specialists can notarize your durable power of attorney (DPOA) through Remote Online Notarization.
Before proceeding, we encourage you to review our specific policy on DPOA notarizations, as additional requirements may apply. For example, if the signer is considered a vulnerable adult under Florida law, the witnesses must be physically present with the signer during the online session with the notary.
If you don’t yet have a DPOA document, we offer nonlawyer document preparation services to help you create one, along with related estate planning documents if needed.
No — Florida law does not allow marriages to be performed online through remote notarization. A marriage ceremony must be conducted in person and comply with the legal requirements set by the State of Florida.
Yes — Florida Document Specialists can assist you in obtaining a notarized travel authorization letter for international travel with a minor child.
Whether you already have a document prepared or need help creating one, we offer both remote online notarization and nonlawyer document preparation services to ensure the authorization meets airline and border control requirements.
Absolutely! We can securely notarize your USPS Form PS 1583 through our remote online notarization service.

We’ll guide you through the process from start to finish.
Yes — Florida Document Specialists can help you obtain a Florida apostille quickly and accurately. We specialize in apostilles and authentications for documents intended for use outside the United States.
While Florida does not offer same-day apostille service, we do provide an expedited RUSH option, with most apostilles completed in just 2 business days. Our experienced team handles every step of the process for you — saving you time, frustration, and uncertainty.

Definitely! Our remote online notarization platform fully supports documents with multiple signers and witnesses. Whether participants are in the same location or spread across different states (or countries), we can coordinate everyone into a single, seamless session.
If co-located, signers may even share the same device to simplify the process. We make it easy to notarize documents with multiple parties — without sacrificing speed, security, or legal compliance.
Absolutely! Our platform is fully equipped to manage documents that require multiple electronic signatures and initials. Whether your form needs signatures on every page or initials in specific sections, we’ll configure it to meet your exact requirements — all while maintaining security and legal compliance.
Yes — if you have an urgent situation or need a notarization outside of regular business hours, we offer a Priority-RUSH service for evenings, weekends, and most holidays.
For immediate after-hours assistance, call our main line at (800) 255-5287 and select option 9 to reach our on-call notary. We’re here to help when timing matters most.
No — we cannot accept incomplete documents or loose signature pages for online notarization. Your document must be fully completed and assembled before the session begins.
Submitting only the signature page or an unfinished document could invalidate the notarization and may be rejected by receiving parties. If you’re unsure whether your document is ready, we’re happy to review it in advance.
No — VIN verification cannot be completed through remote online notarization. Florida’s HSMV Form 82042 requires a physical, in-person inspection of the vehicle, which makes RON unsuitable for this purpose.
If you need a VIN verified, many local law enforcement agencies offer this service — often free of charge. You can also check with a local tax collector’s office or licensed dealership for assistance.
No — all online notarizations in Florida are conducted electronically, meaning both signatures and notary seals are applied digitally. If a "wet" signature is required, it's often due to foreign authorities or agencies unfamiliar with Florida’s Remote Online Notarization (RON) laws. We recommend confirming in advance whether the recipient will accept an electronically notarized document.
As an alternative, we offer a service to create a certified true copy of your electronically notarized document. This involves printing the notarized file and attaching a true copy affidavit that includes a physical (wet) signature and ink stamp. We can then mail the certified copy to you or a third party.
This service costs $25 plus postage.
No — Florida Document Specialists is not a call center operation, and we never subcontract our notaries or act as a middleman.
Unlike mass-market platforms like Proof (formerly Notarize.com) that rely on large pools of independent notaries from multiple states, our online notaries are direct employees of our company, based in Florida, and fully vetted, trained, and accountable. We don’t treat notarization as a volume-driven commodity — we treat it as a professional service that requires skill, care, and consistency.
Here’s how we’re different:
-
Direct communication – You’ll have access to your notary before, during, and after the appointment — no support ticket shuffle.
-
Specialized expertise – Our notaries handle complex documents daily, including wills, powers of attorney, and apostille-ready forms.
-
Quality over quantity – We focus on doing it right, not doing it fast and cheap.
-
No outsourcing – All work is handled in-house by trained professionals committed to your satisfaction.
If you’re looking for a reliable, personal, and detail-oriented alternative to impersonal call center-style platforms, you’ve come to the right place.
To use our online notarization service, you’ll need:
-
A stable internet connection
-
A device with a camera and microphone (computer, tablet, or smartphone)
-
A modern web browser (like Chrome, Firefox, or Safari)
We recommend testing your device and internet connection in advance to ensure a smooth, secure session. If you run into any issues, our team is here to help you get set up.
At Florida Document Specialists, your privacy and data security are top priorities. All online notarization sessions are conducted over a fully encrypted platform, and your documents are securely stored in compliance with Florida law.
We never sell or share your personal information with third parties. Our systems follow strict privacy standards and industry best practices to ensure that your data remains confidential, protected, and accessible only to authorized parties involved in your transaction.
An electronic signature is any symbol, click, or typed name applied online to indicate agreement or intent to sign. A digital signature, on the other hand, is a more secure form of electronic signature — it uses encryption to bind the signature to the document and verify its authenticity.
At Florida Document Specialists, we use both, depending on the type of document and legal requirements. For notarized documents, we apply digital signatures backed by security certificates from IdenTrust, embedded directly into the PDF. This ensures each notarized document is tamper-evident, legally valid, and cryptographically secure.
Yes! You can schedule your online notarization session for a future date and time that works best for you. Our system supports advance bookings, and we recommend scheduling early to ensure availability — especially if your document requires witnesses or falls outside of standard business hours.
We’ll confirm your appointment and make sure everything is ready ahead of time for a smooth, stress-free session.
Yes — if your document is related to a U.S.-based personal or business matter, we can provide remote online notarization no matter where in the world you're located.
As a foreign national, you do not need a Social Security number or U.S. credit history. We use advanced biometric ID verification, and in most cases, a valid passport is all you need to verify your identity and complete the process smoothly.
At Florida Document Specialists, all of our online notaries are vetted, highly trained professionals who work exclusively for our company — we never subcontract. Each notary is commissioned by the State of Florida, and trained to handle everything from simple forms to complex legal and estate planning documents.
We focus on quality over quantity, ensuring that every notary on our team delivers consistent, knowledgeable, and reliable service — every time.
Yes — a document notarized by a Florida notary public, including through remote online notarization, is generally recognized in all U.S. states and territories. This recognition is supported by the Full Faith and Credit Clause of the U.S. Constitution, which requires states to honor the public acts and records of other states.
That said, while the notarization itself is valid, the use or acceptance of the document may still be subject to the specific laws or requirements of the receiving state. For this reason, we recommend confirming with the recipient or appropriate authority in that state to ensure full compliance.
If you’re unsure, feel free to contact us — we’re happy to help you navigate the process.
Yes — we provide remote online notarization services for clients in Venezuela, and the process is fast, secure, and fully legal under Florida law.
No Social Security number or U.S. credit history is required. Most Venezuelan clients can verify their identity using a valid passport and complete the entire notarization process from the comfort of their home.
To learn more and get started, visit our dedicated page for Venezuela.
While California notaries are not authorized to perform online notarizations, California residents can still legally use online notary services — as long as the notary is commissioned in a state where remote online notarization (RON) is allowed.
Florida Document Specialists is fully authorized to provide remote online notarization services to California residents. Under California law, out-of-state notarizations are legally recognized, as long as they’re properly executed under the laws of the commissioning state — in this case, Florida.
So even though California notaries can’t perform RON, you can still get your documents notarized online through our Florida-based service — legally, securely, and conveniently.
It’s fast and easy to notarize documents online from Ecuador using our international remote online notarization service.
You do not need a U.S. Social Security number or credit history. Most clients in Ecuador can verify their identity using a valid passport and complete the process entirely online — securely and legally under Florida law.
To get started, visit our Ecuador notarization page.
Yes — you can upload any document you need notarized. We don’t require you to use a prebuilt form, template, or fill-in-the-blank document. Many of our clients come to us with custom or nonstandard documents that must be notarized exactly as written — and we’re fully equipped to handle those with care and precision.
In some cases, customers specifically need the notarial certificate to appear directly on the document itself, not as a separate page. This is especially important for documents being submitted to government agencies, courts, or foreign authorities that reject “loose certificates” or appended notarizations.
Most large platforms — including Proof (formerly Notarize.com) — do not offer this level of control. Their systems typically generate and attach a separate notarial certificate page, which is digitally affixed to the end of the file. While technically valid, this format may not meet the requirements of certain institutions or jurisdictions that require a visible on-document notary block.
At Florida Document Specialists, we do things differently.
We are the only company we know of with advanced on-document PDF editing capabilities. This means we can:
-
Professionally place a Florida-compliant notary block directly on your document — anywhere it’s needed
-
Preserve your formatting and layout — even for complex legal or multi-page forms
-
Ensure the notarization appears clean, integrated, and legally correct — with no confusing attachments
This attention to detail and flexibility is something high-volume, automated platforms simply don’t offer — and it's one of the many reasons our clients choose us when accuracy and presentation matter.
Yes — we frequently notarize multiple documents during one appointment. The first notarial act is $30 (including ID verification), and each additional act in the same session is $25. This saves you time and money.
We securely store notarized documents and session recordings for 10 years, as required by Florida law. If you lose your document or need another copy, just reach out. We also offer Verified Vault Access™, which gives you private, password-protected access to your notarized files, session video, and audit trail anytime.
Yes — we provide multilingual notarization services with certified interpreters. We regularly assist clients in Spanish, Portuguese, French, Mandarin, Arabic, and other major languages. Our process ensures full legal compliance, even when a language barrier exists.
If your connection is interrupted, we’ll pause or reschedule your session at no additional charge. We’ll work with you to reconnect and resume if possible, and if the session can’t be completed, we’ll book a new one at your convenience.
If you notice an error during the session, let us know right away — we can pause and reload a corrected version of your document. If a mistake is discovered after the session ends, we’ll walk you through the steps to re-notarize the corrected document.
Yes — we work with law firms, title companies, and other organizations that need notarizations on a regular basis. While our pricing is already fair and competitive, we’re open to discussing volume arrangements for high-value partnerships.
But what our clients really value isn’t a discount — it’s accessibility and service.
Try calling a notary at one of the national platforms like Proof.com after hours — good luck getting through. With us, you get real people, responsive support, and direct communication with your notary before, during, and after your session.
Many of our long-term business clients tell us the difference is the personal relationship they develop with our team. We’re not a call center — we’re a partner.
To make things even easier, we can build your firm a custom online submission portal, with pre-filled defaults, tailored fields, and instructions to streamline the process across your team.
If you’re looking for reliable, responsive, and professional remote notarization at scale — you’ve found it.
